Why exhibitors in Dubai book video before the show, not after
An exhibition stand at DWTC or Expo City is one of the most expensive marketing days a company buys, and most of it evaporates when the halls close. Video is what makes it last: a booth film for the website, demo footage for the sales team, interviews for LinkedIn, and a recap for the regional office that signed off the budget. None of that gets captured if the plan is a phone in someone's pocket.
Coverage is booked per show day and planned against the stand's schedule: when the demos run, when the executives are on the stand and when the partner delegation visits. That way the shooter is there for the moments that matter rather than filming an empty booth at 9 a.m. A timelapse of the stand build, filmed during set-up day, is the add-on exhibitors ask for most.
The Dubai and UAE exhibition calendar
The big shows shape the year: GITEX Global (7 to 11 December 2026, moving to the Dubai Exhibition Centre at Expo City Dubai), Gulfood, World Health Expo (formerly Arab Health), Cityscape, The Big 5, and in Abu Dhabi ADIPEC at ADNEC. Each has its own hall lighting, its own crowd density and its own media rules, and a shooter who has worked them arrives knowing where the clean angles are.
Because these dates are fixed, booking early matters twice over: the show week is the busiest in the calendar for every videographer in the city, and the pre-show call is where the shot list, the badge arrangements and the delivery timings get settled. Exhibitors who book in the two months before a show get the coverage they planned; the ones who call the week before get whatever is left.
Filming on the exhibition floor: badges, noise and show light
Most organisers allow exhibitors to film their own stand; some require a media or contractor badge arranged through your stand contact, which is flagged at booking. The harder problems are practical: hall noise that kills interview audio without a proper lavalier setup, mixed show lighting that turns skin tones green, and crowds that block the wide shot for hours. The kit (Sony FX6 and A7 IV bodies, wireless audio and compact LED fill) is chosen for exactly those conditions.
Deliverables land in two waves: verticals and demo clips during the show week for social and sales follow-up, then the edited booth film, interviews and recap within 2 to 5 working days after the doors close. You own every file and the raw footage in writing.

Booking an exhibition videographer in Dubai: FAQs
How much does trade show videography cost in Dubai?
Typically AED 2,000 to 7,000 per show day depending on hours on the stand, how many interviews and demos are captured and how many finished edits are needed. Multi-day shows are quoted per day with the edits itemised.
Do we need a permit or media badge to film our own stand?
Most organisers allow exhibitors to film their own stand. Some shows require a media or contractor badge arranged through your stand contact; that is checked and flagged at booking.
Can clips go out during the show?
Yes. Vertical clips and demo footage are cut and delivered during the show week so your team can post while the hashtag is live; the booth film, interviews and recap follow within 2 to 5 working days.
Can you film at GITEX, Gulfood or ADIPEC?
Yes. Coverage runs across DWTC, the Dubai Exhibition Centre at Expo City and ADNEC in Abu Dhabi, with travel built into the proposal. Show weeks book out early, so confirm dates as soon as the stand is contracted.
Can you interview executives against the hall noise?
Yes. Interviews are recorded with wireless lavalier microphones and a compact lighting setup at the stand, which is what makes them usable on LinkedIn and in the recap.
Can photography be added?
Yes. Stand photography (team, product and visitor stills) is added to the same show day and delivered as an edited gallery alongside the films.
